Coach Data Processing Addendum

This Data Processing Addendum ("Coach DPA") supplements the Terms & Conditions and applies to every coach who uses IX Baseball to access, view, or process personal data of athletes who are not under the coach's sole independent authority. That is, data ultimately controlled by a parent, guardian, team, academy, school, or organization (the "Controller").
1. Roles
The Controller (parent, guardian, or organization) determines the purposes and means of processing athlete personal data. The coach acts as an authorized user under the Controller's authority. IX Baseball provides the platform and acts as a processor on behalf of the Controller as described in our Privacy Notice and Organization DPA.
2. Coach obligations
- Only access athletes the coach is assigned to (through a team, organization, direct invitation, or explicit parent request).
- Use athlete data only for the purpose of the development program the coach is engaged in.
- Not download, copy, transmit, or use athlete videos or reports outside IX Baseball without explicit, prior, written consent of the parent or guardian.
- Not use athlete data to publicly rank, grade, scout, recruit, or shame athletes outside the platform.
- Not share access credentials or impersonate another user.
- Maintain the confidentiality of athlete personal data and use reasonable security practices on the devices used to access the platform.
- Notify IX Baseball at privacy@ixbaseball.ca without undue delay if the coach becomes aware of any unauthorized access, loss, or disclosure of athlete data.
- Comply with parent or organization requests to stop processing specific athlete data when the coach is no longer engaged.
3. Minors
Where the athlete is a minor, the coach acknowledges that the parent or guardian holds consent authority. The coach must not solicit data, communications, or content from a minor outside the platform and must not use the platform to communicate with a minor outside the development context for which the coach was engaged.
4. AI-assisted features
The coach acknowledges that IX Baseball uses AI to assist with reports, scores, and drill recommendations, that AI outputs are decision support, and that the coach remains professionally responsible for the coaching decisions the coach makes. The coach must not represent AI-generated outputs as a substitute for medical, performance-coaching, recruiting, or scouting advice.
5. Subprocessors and international transfers
The coach acknowledges and accepts the subprocessors listed at /subprocessors and the international transfer arrangements described in Section 7 of our Privacy Notice.
6. Termination
When a coach's assignment ends (the coach leaves a team or organization, an invitation is revoked, or the coach's account is closed), the coach's access to the associated athlete data ends. The coach must not retain or continue to use athlete data after such termination.
7. Acceptance
By creating or operating a coach account on IX Baseball, the coach accepts this Coach DPA. A signed counterpart can be requested at privacy@ixbaseball.ca.
